Private school marketing
Marketing built around your admissions year
Private school marketing helps prospective families find and evaluate a school while giving admissions staff useful enquiry information. Canada Create™ plans and runs agreed search, advertising, website, social media and admissions follow-up work for independent and private schools in Canada and the United States, from junior kindergarten to grade 12. The scope reflects your programmes, available places, admissions calendar and staff capacity. The school retains assessment, selection, offers and enrolment decisions; marketing does not guarantee applications or filled seats.
How parents choose a private school
A useful brief identifies the questions prospective families need answered and the evidence your school can provide. Your admissions team helps confirm those needs rather than assuming every family follows the same path.
The trigger
Families may be considering a move, a new entry grade or a particular educational approach. Accurate information about programmes such as French immersion, IB, Montessori, learning support or faith-based education can help them assess fit. Your school confirms what is actually offered; a child’s learning needs or family circumstances are not inputs for audience targeting.
The long research period
The research period varies by family, entry year and available places. Useful information can include curriculum, class sizes, facilities, extracurriculars, substantiated outcomes, tuition, location and transportation. Your team supplies current evidence and identifies which questions need a direct admissions conversation.
The open house and tour
Open houses and private tours give families useful opportunities to assess the school. Marketing can encourage relevant families to attend; the visit and subsequent admissions conversations help them decide whether the school fits.
Application, assessment and decision
Your school defines the application, assessment, interview, offer and deposit stages that apply. We can support approved information and administrative follow-up within scope. Staff remain responsible for assessments, eligibility and decisions; response speed alone does not establish why a family applies or declines.
What a complete private school marketing program includes
Search and Google Business Profile
Parents search on Google and Maps. We optimize eligible campus Google Business Profiles, build useful program and grade pages around parent searches, and answer the questions parents ask. AI-assisted research and drafting can support content production, with human editorial review by our team and school approval of the final copy. See SEO for private schools.
Google Ads timed to your admissions calendar
Campaign scope reflects your open houses, application deadlines, programme availability and approved budget. Launch depends on approved assets, platform eligibility and school review; we do not target minors or use sensitive student circumstances to build audiences. See Google Ads for private schools.
A website built for parents
Clear programme, grade and admissions information, approved photography with appropriate usage rights, tuition and financial aid details, and agreed enquiry or tour-booking routes. See private school website design.
Social media that shows school life
We assess whether platforms such as Instagram or Facebook fit your adult audience and school resources. Content can show approved classroom, club, arts and athletics activities or student contributions, with the required permissions and image usage rights. See social media marketing for private schools.
Admissions CRM and enrolment marketing
We assess supported connections for permitted enquiry records, school-defined stages and available source information. School-approved communications reflect recipient authority and permission. Detailed assessments, learning-needs, health, identity and financial-aid files stay in school-approved systems and outside advertising data. See admissions CRM and enrolment marketing.
Reputation and reviews
Reputation work starts with the channels your school can use. Google disables reviews and ratings for profiles primarily categorized as general schools serving ages 6–18, so affected schools need other evidence: accurate credentials, campus visits, student work and properly permissioned family stories. Where a profile is eligible for reviews, requests should invite honest feedback consistently, without incentives or selecting only happy families. Public replies must not disclose student information.
Positioning: why your school, not the one down the road
The brief should identify distinctions your school can substantiate: teaching approach, programmes, facilities, community and documented outcomes. Your head of school and admissions team approve the evidence and its context. We use that information consistently within the agreed pages and campaigns, without implying a universal advantage over neighbouring schools.
Rules and responsibilities in private school marketing
- Accurate status claims. Ontario’s Ministry of Education does not accredit private schools. It inspects private secondary schools seeking authority to grant credits toward the Ontario Secondary School Diploma; that inspection is not a general endorsement of the school or oversight of its day-to-day operation. Describe credit-granting authority, memberships and any separate accreditation precisely. Other provinces and US states have their own rules.
- Truthful outcomes. University placement, test results and class sizes must be accurate and current. Canada’s Competition Act prohibits misleading representations.
- Student privacy and consent. Document permission for each intended use of a student’s photo, name or story. The process must reflect age, capacity, applicable law and school policy, including parent or guardian authorization where required and the student’s own choices.
- Advertising to children. Quebec restricts commercial advertising directed at children under 13, with applicability confirmed by the school’s advisers. Google excludes under-18 users from personalized advertising. This service addresses adult parents and guardians, with each platform’s current requirements assessed.
- Email consent. Commercial follow-up generally requires a valid CASL basis, sender identification and unsubscribe handling, subject to applicable exceptions. Your school approves the purpose, recipients and wording, distinguishing requested administrative messages from promotion. An enquiry does not create unlimited permission for future marketing.
What private school marketing costs
SEO engagements are custom-scoped, with a proposal after discovery. Google Ads management, social media, website work and admissions CRM setup are quoted in writing based on the number of campuses, entry grades and seats to fill. Ad spend is paid directly to Google or Meta. Compare acquisition cost with expected retention and the contribution available after the costs of serving a student, rather than gross lifetime tuition alone.
Guides for private schools
Admissions stages your reporting can cover
The stages below are possible reporting categories, not a required sequence. Entry grades, rolling admissions and the school’s own process determine which are useful. Agree definitions, permitted data and staff responsibility before comparing results; one family may enquire about more than one child or entry year.
1. Awareness
Available search or campaign evidence can describe visibility among the intended adult audience. Reach, impressions and branded searches are different measures and do not prove that suitable families have considered the school.
2. Enquiry
A parent or guardian may request information or a visit. Reporting can distinguish captured enquiries from duplicates, unrelated contacts and future-entry interest, using only agreed administrative fields and authorized access.
3. Visit
Registrations and recorded attendance can show participation in an open house, private tour or other approved visit. The school confirms which events and records are included; registration does not prove attendance or an application.
4. Application
Started and completed applications are separate records. The school confirms their definitions and permitted reporting status; detailed application documents and assessments are not copied into advertising systems.
5. Assessment and offer
Authorized school staff assess applicants and make offers. Marketing reporting may use agreed, appropriately limited status or aggregate counts; it does not perform assessments, score applicants or decide admission.
6. Enrolment
Yield can be reported as enrolments divided by offers for a defined cohort and period. Agree whether the records count students or families, how deposits and withdrawals are treated, and which school system confirms the result.
7. Retention and referral
Returning enrolments and referrals can be reviewed where the school has permitted, reliable records. Their cost and relevance vary; neither is automatically the cheapest source of enrolment, and family experience depends on the school’s educational and operational work.
Enrolment concerns we assess
- Plenty of enquiries, few visits: assess enquiry relevance, visit availability, response responsibilities and recorded drop-off before recommending changes.
- Good open houses, few applications: review attendance evidence, application requirements and family feedback the school is permitted to use; agree any communication changes with admissions staff.
- Offers declined: assess available reasons, offer information and school-approved communications without assuming marketing caused the decision or can reverse it.
- Strong in one grade, weak in another: review actual capacity, programme fit, demand evidence and staff workload before proposing priorities or budget changes for your written approval.
- No idea which marketing works: we connect supported forms, calls and events to CRM reporting, document attribution gaps and keep student records separate from advertising data.

Private school marketing questions
How do private schools attract more students?
A scoped engagement can help adult parents and guardians find accurate school information, assess fit and contact admissions. The right work depends on programme availability, actual demand, the website and staff capacity. Your school approves claims and retains admissions decisions; marketing cannot guarantee enrolments.
When should private schools advertise?
Plan around your own entry years, events, application deadlines and available places. Rolling admissions or transfers may require a different schedule. The proposal should explain preparation, approval time, budget and platform dependencies rather than assume every school should increase spending in the same season.
Who is the audience for private school marketing?
This service addresses adult parents and guardians. Google excludes under-18 users from personalized advertising, and Quebec restricts commercial advertising directed at children under 13. The school and its advisers confirm applicable requirements; sensitive learning, health, religious or financial circumstances are not used to build audiences.
Should tuition be on our website?
Clear tuition, required fees and financial-aid information can help families evaluate fit. Your school confirms the amounts, eligibility language, effective dates and whether a range is appropriate. Financial-aid decisions and supporting documents stay with authorized school staff.
How do we stand out from other private schools?
Explain substantiated differences in your teaching, programmes, community and school experience. Your team approves current evidence and permissions for examples or student work; no format or claim of uniqueness guarantees a place on a family’s shortlist.
Can we use student photos in marketing?
Use a documented permission process for the intended channels, taking account of the student's age and capacity, applicable law and parent or guardian authority where needed. Do not assume a general school-photo permission covers advertising.
How do you measure private school marketing?
We report captured enquiries, tours, applications and enrolments using available source information. Cost-per-enrolment comparisons identify the costs and period used, and we flag unmatched records or attribution gaps.
Do you work with private schools outside Ontario?
Yes. We work with private schools across Canada and in the United States.
What is enrolment marketing?
Enrolment marketing coordinates agreed information, campaigns and administrative communications around a school’s admissions process. Reporting can cover enquiries, visits, applications, offers and enrolments where appropriate records are available. The school controls assessment, selection and offers; families decide whether to enrol.
What is yield in admissions?
Yield is the share of offers that result in enrolment for a defined cohort and period. Agree whether the unit is students or families and how withdrawals are handled. School-approved information can support decisions, but reporting must not treat a change in yield as proof that marketing caused it.
Do we need an admissions CRM?
A CRM may help when permitted enquiries, events and staff follow-up are difficult to coordinate. We review the existing admissions system first, then assess supported connections or whether CS+ fits the agreed administrative scope. The proposal identifies access, licences, vendor dependencies and school responsibility; it does not replace the school’s decision or sensitive-record systems.
Is retention part of enrolment marketing?
Returning enrolments and referrals can be included where the school has suitable records and permission. Their costs and relevance vary; they are not automatically the cheapest source of enrolment. Educational delivery, family experience and school decisions remain outside a marketing guarantee.
