Legal CRM services

Decide what your firm needs before adding another system

Give your intake team a clear view of who needs a reply, who is ready for a consultation and what happens next. Canada Create™ sets up CRM systems for Toronto law firms, connecting enquiries, booking and approved follow-up around the way your firm accepts work. We can configure CS+, Canada Create™’s CRM, or assess the platform you already use. Your lawyers keep control of conflict decisions, advice and retainers; your team gets a more organised way to manage the work around them.

Explore the service

A legal CRM helps manage prospective clients and referral relationships before and around a legal matter. For your receptionist or intake coordinator, that means less time searching shared inboxes for the latest conversation. For a partner, it means a clearer view of consultations, outstanding follow-up and recorded matter outcomes.

We focus on enquiries your firm is already receiving. The goal is to make the next action visible and easier to complete, whether that is a callback, a screening review, a consultation or closing an enquiry. A CRM does not decide whether to accept a client, give legal advice or guarantee more retained matters.

Do you need another system?

We assess your existing tools before recommending a new subscription. Your practice management platform may already offer useful intake, booking and communication features. A focused configuration project may be enough if enquiry volume is modest and responsibility is clear.

A separate CRM is worth assessing when several people handle intake, enquiries arrive through different channels, or partners cannot see what happened after the first call. The decision should account for the capabilities you already pay for, the additional cost and the work your staff would still need to do.

Trust accounting, legal documents, matter deadlines and file management remain with your firm’s designated systems and professionals. Replacing them is outside a standard intake CRM engagement.

A clearer first experience for prospective clients

A person contacting your firm wants to know whether you can help and what to expect next. A missed callback, unclear booking confirmation or repeated request for the same information can make that first experience frustrating.

We configure the agreed enquiry channels, booking communications and follow-up so your staff can see the status of each contact. Your firm approves the wording, response expectations and safe contact preferences. This matters where a message on a shared phone or inbox could reveal a sensitive legal enquiry.

If you invest in SEO or Google Ads, CRM reporting can help connect recorded enquiry sources with consultations and retained matters. Reporting depends on the available source data and the outcomes your team records. It helps you judge marketing quality without promising that every enquiry becomes a client.

Your firm’s professional responsibilities

The Law Society of Ontario identifies prospective-client management, conflicts, confidentiality and client communication among its practice-management concerns. Those responsibilities belong in the buying decision, alongside ease of use and cost.

Canada Create™ configures the agreed system around your firm’s approved requirements. Your responsible lawyer decides what information may be collected, who may access it, how conflicts are checked and when an enquiry may proceed. A screening status in a CRM is a record of your firm’s decision, not an independent conflict clearance.

Before launch, your firm approves public forms, client-facing messages, contact permissions and retention requirements. Commercial email and text follow-up must account for applicable consent, identification and unsubscribe obligations; the CRTC explains those requirements. Our CRM implementation is not legal advice or a regulatory compliance review.

When your current intake tools stop fitting

A shared inbox can work well for a small team. The case for change grows when enquiries have no clear owner, staff repeat data entry, consultations lack follow-up or partners cannot tell which referrals led to work.

Bring those specific problems to discovery. We will assess whether better use of your existing system, a limited connection between tools or a dedicated CRM is the better fit. There is no need to replace a working platform simply to add more software.

What can be included in your legal CRM engagement

Your written proposal identifies the functions, channels and users included. Depending on your needs and platform compatibility, scope can cover:

  • Enquiry management: a shared view of agreed phone, website and referral enquiries, with assigned responsibility and outstanding tasks.
  • Consultation booking: calendar connections, confirmations and reminders that reflect the availability and communication preferences your firm approves.
  • Screening handoffs: visibility into information awaiting review and decisions recorded by your authorised staff.
  • Approved follow-up: messages and staff reminders for open enquiries, with appropriate stopping points and contact permissions.
  • Retainer handoff: supported connections to your existing engagement-document and practice management tools, where included.
  • Management reporting: recorded enquiries, consultations, referral sources and matter outcomes, with reporting limitations made clear.
  • Data migration and training: the agreed records, team sessions and handover materials, with ongoing management available under a separate scoped agreement.

The service does not include answering prospective clients on your firm’s behalf, legal screening decisions, trust accounting, legal advice, a security certification or a promise of additional cases. Any separate service or substantial extension must be agreed in writing.

What working with Canada Create™ involves

You should know what you are buying before the build starts. Discovery covers your practice areas, enquiry volume, existing subscriptions and the people responsible for intake. You then receive a written proposal with deliverables, fees, dependencies and a schedule.

During delivery, your nominated contact coordinates access and your lawyers approve the questions and communications the system will use. Your team reviews the agreed functions before launch and receives handover training. Changes beyond the accepted scope are quoted separately. Migration, vendor access and the availability of your reviewers affect the delivery schedule.

Compatibility, data and access

We assess CS+ and your current tools against the work you need them to support. Compatibility depends on the software edition, available connections, vendor permissions and the information your firm permits to move between systems. Your proposal should identify confirmed connections and any remaining manual handoffs.

Our WordPress development team can support agreed website connections. Where we manage your Google Ads, internal reports can compare recorded enquiries with consultations and matters. Sending conversion information to an advertising platform requires a separate policy and privacy assessment; it is not assumed to be part of a CRM connection.

Before moving records, we agree which data is in scope, what can be transferred reliably and what your firm needs to retain elsewhere. Vendor data location, access controls, backup arrangements and export options are part of evaluating fit. We do not assume Canadian data residency, complete historical migration or unrestricted export without checking the selected service.

Unsure whether the problem is your software or the way enquiries move through it? Tell us what your staff are struggling with and which systems you use. Discuss your law firm’s CRM.

Fees, ownership and support

A law firm CRM project is quoted after discovery. The main cost drivers are the number of users, practice areas, offices and enquiry channels, along with integration requirements, data quality and training needs.

Cost componentWhat your proposal should clarify
One-time setupIncluded functions, integrations, migration, training, acceptance criteria and payment schedule.
Optional ongoing managementIncluded changes, reporting, support scope, agreement term and renewal provisions.
Software licencesPlatform, user count, required edition and vendor charges separate from our service fee.
Messaging and e-signatureAny usage charges or vendor subscriptions required for the agreed functions.

Fees are in Canadian dollars unless stated otherwise, plus applicable taxes. The written agreement sets the term and payment schedule. Our Terms of Service provide that fees are non-refundable and the full agreed term remains payable if you choose not to continue. Read the proposal and Terms together before approving work.

What you own and what remains licensed

After full and final payment, ownership of finalized work created specifically for your firm is governed by the Terms, including their signature and portfolio provisions. Third-party software and materials remain subject to their licences; Canada Create™ retains its pre-existing tools and reusable materials. Your proposal should clarify administrator access, the records available for export and any charge for a later transition.

Support after handover

One-time projects include reasonable handover training and 90 days of limited post-acceptance support for defects in the delivered work, subject to the Terms. Ongoing changes and management require an agreed scope. Support requests can be recorded by our AI support agent 24/7; the standard team-response target is 24 to 48 hours during business days, not immediate round-the-clock repair.

How to assess the proposal

Choose a setup your staff can use and your firm can govern. Compare proposals on the work included, confirmed compatibility, staff responsibilities, ongoing costs, data access and support. Ask what remains outside scope, rather than relying on a long software feature list.

To judge value after launch, look at your own recorded response times, unattended enquiries, consultation attendance and accepted matters, alongside staff workload. Review those measures against the total cost and the work your team still needs to do. Actual results depend on enquiry quality, staff use and the services your firm offers.

Fit by practice area

A family or criminal defence enquiry may require especially careful contact preferences. Personal injury and employment matters may involve dates and parties that need prompt lawyer review. Immigration practices may need support for the languages their staff can serve. Real estate, estates and business-law teams may put more emphasis on referral relationships and agreed follow-up.

We scope the system around the work your firm actually takes on. Your lawyers define screening requirements, urgency and acceptance decisions; the CRM helps staff organise the related tasks.

A focused option for solo and small firms

If one lawyer and one assistant handle a manageable number of enquiries, a modest project may be enough: better use of existing intake features, clearer booking and a shared view of outstanding follow-up. We assess that option before proposing a larger build or extra subscriptions.

What your staff will need to do

Your firm appoints a project contact, provides agreed access and makes time for review and training. Lawyers approve screening requirements and communications. Intake staff keep enquiry status, contact preferences and outcomes current. A partner or manager remains responsible for checking that work is being handled.

Canada Create™ provides the agreed configuration and handover. Optional monthly management can support changes and reporting, but it does not replace your firm’s intake staff or professional supervision.

Working with Canada Create has meant so much to me and my business, ProDerma Clinic. When you put your heart into caring for your clients, you want your website and online presence to reflect that same care. I’m so happy with the work Amir and his team have done to help me present my clinic and services with confidence.

They created a beautiful, professional website that brings together my treatments and makes it easy for visitors to learn about the clinic, explore their options, and book a consultation. Having a website I feel proud to share is a wonderful feeling. It gives people an introduction to ProDerma before they even walk through the door.

Their work has also included Google Business Profile optimization, helping me strengthen how my clinic appears on Google Search and Maps. For a local clinic in downtown Toronto, making it easier for people to find accurate information about my services, location, and booking options is incredibly valuable.

What stays with me most is the care and effort behind the work. I’m grateful to Amir and the Canada Create team for helping me build an online presence that reflects the business I’m working so hard to grow.

I would happily recommend Canada Create to other clinic owners and business owners looking for website design, Google Business Profile optimization, and thoughtful marketing guidance. Thank you for supporting ProDerma Clinic and for putting so much heart into your work!

I can't say enough good things about my experience with Canada Create, and especially Amir Vincent, one of the owners. His personal involvement made all the difference.

As the owner of a boutique medical aesthetics practice, my business is very personal to me. I wanted a website that showed not just my services, but the philosophy, warmth and individualized care behind my practice. I had a very particular vision, and Canada Create brought it to life more beautifully than I imagined.

From day one, Amir was professional, enthusiastic and detail-oriented, and he took a real interest in understanding my business. He and his team treated the project as a partnership. They took the time to learn what makes my practice unique and how to communicate that to new clients.

The website is beautiful. It's elegant, welcoming and thoughtfully designed, from the overall look and photography to how the information is laid out. It feels authentic to my brand and makes exactly the impression I was hoping for.

They also arranged a professional photoshoot for my practice, which was a highlight. The photos add a personal touch that captures the personality of my business. That matters so much in an industry built on trust and connection.

I've been just as impressed by their technical knowledge. Canada Create manages my website analytics and helps me understand how the site is performing and how to grow my online presence over time. That ongoing support is invaluable. They understand a website has to do more than look good. It has to help build the business.

Their communication, patience and willingness to listen have been wonderful. They took my ideas seriously while bringing their own expertise and creative suggestions. I always felt valued as a person, not just another client. I've spent years building a practice that reflects my values, so I really appreciate people who take pride in their work, and I see that in Amir and his team.

I'm so proud of what we've created together and look forward to continuing to work with Canada Create as my practice grows. If you're considering a new website, a brand refresh or a stronger online presence, I recommend them wholeheartedly.

Amir, thank you for your guidance, dedication and care. And thank you to the whole Canada Create team for turning my vision into something so beautiful. A five-star experience!

I had a great experience working with this business. They helped me build my tutoring website from scratch and guided me through the entire process.

I knew nothing about how the process worked, but they were professional, patient, and incredibly helpful. They took the time to understand what I wanted, handled the setup and design, and made sure everything worked properly.

I’m very happy with the final result and would definitely recommend them to anyone who needs help creating a professional website or getting their business online.

Working with Canada Create and Amir Vincent has been an absolute game-changer. I came to them looking for help with social media strategy and creative edits, and they didn’t just deliver, they elevated everything. From the first call, Amir’s clarity, professionalism, and creative eye stood out. You can tell this team genuinely cares about brand quality and impact, not just ticking boxes.

They took my ideas, refined them with precision, and turned them into polished, scroll-stopping content that actually converts. Every edit felt intentional, every post had strategy behind it, and the communication was seamless. No ego, no fluff just pure execution and results.

What impressed me most was Amir’s leadership. He’s not just a CEO, he’s a creative visionary who pushes for excellence in every detail. He listens, adapts, and brings real insight to the table. It’s rare to find a partner who can merge design aesthetics, marketing psychology, and performance thinking like that.

If you’re serious about growing your brand, sharpening your content game, or leveling up your digital presence Canada Create is the team you want in your corner. Amir and his crew don’t play small; they build brands that command attention.

Questions before choosing a law firm CRM

Do we need a separate CRM if we already have practice management software?

Not necessarily. We assess the intake, booking and communication capabilities you already pay for. A focused configuration may be enough for a small team; a separate CRM may help when multiple staff, channels or offices make follow-up harder to manage.

Can you configure CS+ or our existing CRM?

We assess both options against your requirements. The proposal identifies the platform, included functions and confirmed connections. An existing subscription or advertised integration does not by itself establish compatibility.

Will the CRM perform conflict checks or decide which clients we accept?

No. It can support the agreed screening handoff and record your team’s decisions. Conflict clearance, legal advice and client acceptance remain your firm’s professional responsibilities.

What is included in the setup?

Scope can include enquiry management, approved forms and follow-up, consultation booking, agreed connections, specified data migration, reporting and training. The written proposal defines the included users, channels and deliverables.

Does this service certify our privacy or regulatory compliance?

No. We configure the agreed requirements, but our implementation is not legal advice or a compliance review. Your firm approves collection, access, retention and communications, and assesses the selected vendors with its advisers.

How much does a law firm CRM project cost?

We quote after discovery based on users, practice areas, channels, connections, data migration and training. One-time setup, optional ongoing management and third-party charges are separate. The agreement sets the term, fees and payment schedule; the Terms include non-refundable fees and full-term payment obligations.

How long does implementation take?

The proposal confirms a schedule after we assess scope and dependencies. Vendor access, migration complexity and your team’s approvals affect timing. The one-business-day reply target applies to your initial enquiry, not to the proposal or implementation.

What will our staff need to do?

Appoint a project contact, provide agreed access and attend review and training. Lawyers approve screening requirements and communications. Intake staff remain responsible for handling enquiries and keeping status and outcomes current.

Can the CRM report on website and advertising enquiries?

Where the agreed connections provide source data, reports can compare recorded enquiries, consultations and matter outcomes. Advertising-platform conversion uploads need a separate policy and privacy assessment and are not assumed to be included.

What happens to access and data if we change providers later?

Before work starts, clarify administrator access, export availability and transition costs in the proposal. Ownership of paid, finalized custom deliverables is governed by our Terms, including their signature provisions. Third-party licences, pre-existing tools and vendor data-export limits still apply.
