Dental CRM in Toronto

Dental CRM setup for administrative enquiries, supported appointment coordination and practice-approved communications, with staff responsibilities agreed.

Your practice-management software holds the clinical record, schedule and billing. We assess whether a separate CRM would help the front desk manage enquiries and approved administrative tasks, without duplicating functions your current system already provides.

Dental CRM guide

How a dental CRM fits your practice

A dental CRM can help your front desk organize enquiries and approved appointment communications. Canada Create™ configures CS+, our own CRM, alongside platforms such as HubSpot, Zoho and Salesforce for dental practices across Canada and the United States. The written scope identifies supported website, phone and booking connections, staff responsibilities and the reporting your permitted data can support. The first step is checking what your existing practice management software already does well and where a separate CRM would help.

Practice management software versus a dental CRM

Your practice management system holds the chart, schedule, treatment plan and billing, and may already include reminders, recalls or enquiry tools. We check those features before adding anything. A separate CRM may help with an after-hours website enquiry, a missed call or an administrative task awaiting a reply. The practice agrees which information belongs in each system before any connection is approved. Clinical charts, diagnoses, treatment plans and billing remain in the agreed practice-management system; a CRM does not make treatment recommendations or determine whether care is needed.

What a CRM for dentists does

The agreed scope can include enquiries from supported channels, assigned administrative tasks, approved appointment communications and reporting on available activity. Your team decides who responds, during which hours and how clinical questions are referred to the appropriate staff. An automated acknowledgement is not clinical advice or confirmation that an appointment is booked. Dentists determine whether follow-up or recall is appropriate; the CRM does not decide that a patient should return or accept treatment. The practice approves each message’s purpose and permissions, distinguishing care communications from promotions. Any feedback activity needs a separate professional-rules assessment: Ontario dental advertising cannot use patient testimonials, and consent alone does not remove that restriction. Reporting distinguishes enquiries, booked appointments and attended visits, with missing sources and records identified. Software does not guarantee return visits, treatment acceptance or revenue.

Connecting the CRM to your website, phone and ads

We assess supported connections between the practice website, phone and booking tools before including them in the proposal. Compatibility depends on your software version, access permissions, vendor terms and available features. Call recording is optional and requires the practice’s approval of its purpose, disclosures, consent, access and retention. Internal reporting uses approved information and distinguishes known sources from unattributed activity. For Google Ads, internal practice reporting and any proposed advertising measurement are assessed separately. Google’s customer-data policy restricts sensitive-health conversion measurement, including medical-service information. A useful internal report does not make those records eligible for upload. Identifying patient information, clinical notes, form answers and treatment details stay out of general analytics and advertising feeds. The agreement specifies any permitted connection, information exclusions and testing before activation.

PHIPA, PIPEDA and CASL in a dental practice

Ontario dental practices must address PHIPA when handling personal health information. Elsewhere, the applicable mix of provincial privacy law and PIPEDA depends on the location and data flow; the federal privacy commissioner explains where provincial laws apply instead. CASL also matters for commercial email and text. Message purpose and content determine the applicable requirements; a recall label or an existing patient relationship does not automatically permit a promotion. Your practice confirms consent, sender identification and unsubscribe requirements where applicable. We document proposed access permissions, hosting and processing locations, retention, vendor responsibilities and communication controls for your privacy officer or adviser. The practice approves permitted use; implementation is not a PHIPA or security certification. Booking information can itself be sensitive, so the CRM is assessed as part of the patient-information workflow, not treated as harmless simply because it holds no clinical chart.

What a dental CRM setup includes

A Canada Create™ dental CRM engagement starts by reviewing the administrative problem and the tools your team already uses. The proposal identifies the platform, included configuration, approved data to be transferred, supported connections, reporting and staff training. It also identifies what stays in your practice-management system and which work requires your privacy officer or vendor’s involvement. Your team reviews the proposed setup against agreed acceptance criteria before launch. Testing, approvals, training and any stabilization support are defined in writing; changes outside the agreed scope are quoted separately. Drafting may be AI-assisted, with team editorial review and practice approval of messages before use. If patient information would be involved in an AI feature, the practice must separately assess its purpose, permissions and risks before that feature is included.

CS+, HubSpot, Zoho or a dental-specific tool

Dental-specific CRM products offer different combinations of enquiry, communication and practice-system features. Compare licence and usage costs, supported connections, access controls, vendor responsibilities, export options and staff effort against your needs. CS+ is Canada Create™’s own CRM and can be assessed alongside other platforms; shared management by one team does not establish that a system is suitable for patient information. HubSpot and Zoho may be considered where your group already uses those platforms, subject to the proposed data and feature requirements. We recommend in writing after discovery and assess the tool you already own before proposing another. Available exports, vendor licence limits and handover responsibilities are confirmed in the agreement; clinical recordkeeping duties remain with your practice.

What drives the cost of a dental CRM

Cost depends on the number of locations and users, the integrations required (website, phone, booking, practice management software, ads), the amount and condition of approved data to transfer, reporting needs, training and the communication support included. Software licences, where a third-party platform is used, are paid to the vendor and are separate from our fees. Timing depends on vendor access, connection feasibility, the data review, staff availability and acceptance testing; the proposal confirms milestones rather than a standard launch date. Every fee is quoted in writing before work starts, and you receive a proposal after a discovery call.

Guides for dental practices

A dental CRM engagement can be scoped separately from dental SEO, Google Ads for dentists, AI for dental practices and dental branding. Other clinics should read the medical clinic CRM and CRM for therapists pages, and every CRM service is listed on the CRM services hub.

  3. Configuration Agreed review point

Your team reviews the proposed administrative setup and messages against the agreed requirements.

Approved information and supported connections are tested within the agreed scope, with privacy and vendor responsibilities confirmed.

Working with Canada Create has meant so much to me and my business, ProDerma Clinic. When you put your heart into caring for your clients, you want your website and online presence to reflect that same care. I’m so happy with the work Amir and his team have done to help me present my clinic and services with confidence.

They created a beautiful, professional website that brings together my treatments and makes it easy for visitors to learn about the clinic, explore their options, and book a consultation. Having a website I feel proud to share is a wonderful feeling. It gives people an introduction to ProDerma before they even walk through the door.

Their work has also included Google Business Profile optimization, helping me strengthen how my clinic appears on Google Search and Maps. For a local clinic in downtown Toronto, making it easier for people to find accurate information about my services, location, and booking options is incredibly valuable.

What stays with me most is the care and effort behind the work. I’m grateful to Amir and the Canada Create team for helping me build an online presence that reflects the business I’m working so hard to grow.

I would happily recommend Canada Create to other clinic owners and business owners looking for website design, Google Business Profile optimization, and thoughtful marketing guidance. Thank you for supporting ProDerma Clinic and for putting so much heart into your work!

I can't say enough good things about my experience with Canada Create, and especially Amir Vincent, one of the owners. His personal involvement made all the difference.

As the owner of a boutique medical aesthetics practice, my business is very personal to me. I wanted a website that showed not just my services, but the philosophy, warmth and individualized care behind my practice. I had a very particular vision, and Canada Create brought it to life more beautifully than I imagined.

From day one, Amir was professional, enthusiastic and detail-oriented, and he took a real interest in understanding my business. He and his team treated the project as a partnership. They took the time to learn what makes my practice unique and how to communicate that to new clients.

The website is beautiful. It's elegant, welcoming and thoughtfully designed, from the overall look and photography to how the information is laid out. It feels authentic to my brand and makes exactly the impression I was hoping for.

They also arranged a professional photoshoot for my practice, which was a highlight. The photos add a personal touch that captures the personality of my business. That matters so much in an industry built on trust and connection.

I've been just as impressed by their technical knowledge. Canada Create manages my website analytics and helps me understand how the site is performing and how to grow my online presence over time. That ongoing support is invaluable. They understand a website has to do more than look good. It has to help build the business.

Their communication, patience and willingness to listen have been wonderful. They took my ideas seriously while bringing their own expertise and creative suggestions. I always felt valued as a person, not just another client. I've spent years building a practice that reflects my values, so I really appreciate people who take pride in their work, and I see that in Amir and his team.

I'm so proud of what we've created together and look forward to continuing to work with Canada Create as my practice grows. If you're considering a new website, a brand refresh or a stronger online presence, I recommend them wholeheartedly.

Amir, thank you for your guidance, dedication and care. And thank you to the whole Canada Create team for turning my vision into something so beautiful. A five-star experience!

I had a great experience working with this business. They helped me build my tutoring website from scratch and guided me through the entire process.

I knew nothing about how the process worked, but they were professional, patient, and incredibly helpful. They took the time to understand what I wanted, handled the setup and design, and made sure everything worked properly.

I’m very happy with the final result and would definitely recommend them to anyone who needs help creating a professional website or getting their business online.

Working with Canada Create and Amir Vincent has been an absolute game-changer. I came to them looking for help with social media strategy and creative edits, and they didn’t just deliver, they elevated everything. From the first call, Amir’s clarity, professionalism, and creative eye stood out. You can tell this team genuinely cares about brand quality and impact, not just ticking boxes.

They took my ideas, refined them with precision, and turned them into polished, scroll-stopping content that actually converts. Every edit felt intentional, every post had strategy behind it, and the communication was seamless. No ego, no fluff just pure execution and results.

What impressed me most was Amir’s leadership. He’s not just a CEO, he’s a creative visionary who pushes for excellence in every detail. He listens, adapts, and brings real insight to the table. It’s rare to find a partner who can merge design aesthetics, marketing psychology, and performance thinking like that.

If you’re serious about growing your brand, sharpening your content game, or leveling up your digital presence Canada Create is the team you want in your corner. Amir and his crew don’t play small; they build brands that command attention.

Dental CRM questions

What is a dental CRM?

A dental CRM can organize supported enquiries, administrative tasks and practice-approved appointment communications. The agreed scope defines staff responsibilities, permitted information and available reporting. It sits alongside the practice-management system and does not replace clinical records or determine treatment or recall needs.

Does a dental CRM replace Dentrix, Tracker or ClearDent?

No. Clinical charts, scheduling, treatment plans and billing remain in the agreed practice-management system. We assess the capabilities you already have before proposing a separate CRM. Any connection depends on the software version, vendor terms, access and permitted information, with setup and testing specified in the agreement.

Is a dental CRM compliant with PHIPA?

A dental CRM needs a practice-specific privacy review. We document permissions, consent, retention, hosting, vendors and integrations for your privacy officer, including the sensitivity of booking information. Clinical records remain in the agreed clinical system.

Can the CRM connect to Google Ads?

We assess internal source reporting separately from any proposed advertising measurement. Google’s customer-data rules restrict sensitive-health conversion measurement; useful practice records are not automatically eligible for upload. The proposed scope identifies permitted information, exclusions, permissions and testing before any connection is activated.

Which platform do you use for dental practices?

We can assess CS+, our own CRM, alongside HubSpot, Zoho or a platform your practice already uses. The recommendation depends on administrative needs, supported connections, vendor terms, permissions, data handling and cost. A product name or one-team service model does not establish suitability for patient information.

How long does a dental CRM setup take?

Timing depends on your scope, vendor access, connection feasibility, approved data, staff availability and acceptance testing. Your written proposal sets the delivery and review milestones and identifies the dependencies your practice must provide. There is no standard launch date for every dental practice.

What does a dental CRM cost?

Setup and optional monthly management are quoted in writing after a discovery call. Third-party licences are paid to the vendor. You receive a proposal.

Do you work with practices outside Ontario?

Yes. We work with practices across Canada and the United States, map their data flows and implement the agreed technical controls. Your privacy officer or adviser confirms the requirements that apply to the practice.
